PRIVACY POLICY
OF THE ROBOTICS REPOSITORY PORTAL
This Privacy Policy of the Robotics Repository web portal (hereinafter referred to as the “Privacy Policy”) defines in particular the terms and conditions of using roborepo.pl:8443 website (hereinafter referred to as the “portal”) by visitors (hereinafter referred to as the “User”), the rules of personal data processing and how cookies are used on the portal.
I. General provisions
- This Privacy Policy governs the use of the portal by the User.
- The controller of personal data collected via the portal is Łukasiewicz Research Network – Industrial Institute of Automation and Measurements PIAP at the following address: Al. Jerozolimskie 202, 02-486 Warszawa, entered in the Register of Entrepreneurs kept by the District Court for the Capital City of Warsaw in Warsaw, 13th Commercial Division of the National Court Register, under KRS No.: 0000846727, NIP (Tax Identification Number): 5223185370, REGON (Business Statistical Number): 000035257 (hereinafter referred to as the “Controller”).
The Controller has appointed a personal data inspector, with whom the User may contact in all matters related to personal data protection. The personal data inspector may be contacted in writing at the e-mail address rodo@piap.lukasiewicz.gov.pl
- The personal data of persons using the portal are processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (hereinafter referred to as the “GDPR”), as well as in accordance with the Act of 18 July 2002 on providing services by electronic means.
- The Controller applies due care to protect the interests of data subjects, and in particular ensures that the data collected by it are processed in accordance with the principles of legality, reliability, transparency, minimisation, adequacy, timeliness, correctness, and that it will act in accordance with the principle of safety and accountability.
II. Personal data processing
- The Controller may process the personal data of the Users if this is necessary to use the portal or services provided via the portal.
- The purpose, scope and categories of recipients of data processed by the Controller result from actions taken each time by the User as part of using the portal.
- The purposes for which the User personal data may be processed by the Controller are specified below:
1) personal data such as the e-mail address, name, surname of the person who used the form available on the portal will be processed for the purpose of:
a) processing the request sent and contacting this person in connection with his/her message sent using the form – pursuant to Article 6 item 1 letter f) of the GDPR, i.e. based on the Controller’s legitimate interest;
b) establishment or pursue of claims, or defense of claims, if any, between the person using the form and the Controller – pursuant to Article 6, item 1, letter f) of the GDPR, i.e. based on the Controller’s legitimate interest;
2) personal data related to the Username (if they are personal data) and the e-mail address of the persons using the services consisting in creating and maintaining an account on the portal will be processed for the purpose of:
a) conclusion of an agreement with the Controller on the provision of an electronic service consisting in creating and maintaining an account on the portal – pursuant to Article 6, item 1, letter b) of the GDPR, i.e. processing is necessary for the conclusion and performance of the agreement;
b) establishment, pursue or defense of claims between the person using services consisting in creating and maintaining the account and the Controller – pursuant to Article 6, item 1, letter f) of the GDPR, i.e. based on the Controller’s legitimate interest.
3) The personal data of the portal User obtained through cookies may be processed for the purpose of:
a) enabling the use of the portal and the functionalities available there by the User – pursuant to Article 6, item 1, letter b) of the GDPR, i.e. processing is necessary for the conclusion and performance of the agreement;
b) collection of aggregate statistics which enable the Controller to understand how the Users use the portal and which help in administering the portal, improve its functionalities and content – pursuant to Article 6, item 1, letter a) of the GDPR, i.e. based on the User’s voluntary consent;
c) establishment or pursue claims, or defense of claims, if any, between the portal User and the Controller – pursuant to Article 6, item 1, letter f) of the GDPR, i.e. based on the Controller’s legitimate interest.
- The provision of personal data is voluntary, however, to the extent defined in each case, it is necessary in order to use the services provided by the Controller that the User selected.
- No automated decisions will be taken in relation to the User, also as a result of profiling.
- The personal data of the User will be processed for a period necessary to achieve the objectives for which data are processed or until an objection has been made (if the basis for processing is the Controller’s legitimate interest) – depending on which occurs earlier.
- The Controller will store the personal data of the User until the period of limitation of claims, if any, has expired and for a period of 2 (two) months of the expiry of such an applicable period of limitation.
- The personal data processed by the Controller will be disclosed to the following entities: the Controller’s employees and collaborators, providers of IT services, hosting entities, entities providing advisory, legal and accounting services.
- Personal data processed by the Collector may be made available to entities and bodies authorised to process these data pursuant to applicable provisions of law.
- The Controller will not provide the User’s personal data to any country outside the European Economic Area or international organisation.
- The Administrator may publish commercial information and links to other websites on the portal. Using a banner or a link, the User is transferred to a website belonging to another owner, who is solely responsible for the content thereof, as well as for the processing of personal data of persons visiting this website
III. Cookies
- The portal collects automatically only the information contained in cookies.
- Cookie files are text files stored on the User’s end device. Their purpose is to use the Collector’s portals. They primarily contain the name of the website from which they originate, their unique number and the time of storage on the end device.
- The Controller (Operator) is at the same time the entity placing cookies on the User’s end device and having access to them.
- The Controller uses cookies to:
1) adapt the content of the portal to the User’s individual preferences; primarily, these files recognise the User’s device to display the portal according to his/her preferences;
2) prepare statistics to support the recognition of the User preferences and behaviour; the analysis of these statistics is anonymous and enables matching website content and appearance to current trends; the statistics are also used to evaluate the popularity of the portal;
3) enable logging on to the portal;
4) maintain the User logged on each subsequent site of the portal.
- The portal uses two basic types of cookies – session cookies and persistent cookies. Session files are temporary and they are stored until leaving the portal (by opening another site, logging out or closing the browser). Persistent files are stored on the User’s end device until they are deleted by the User or for a period of time resulting from their settings.
- The User may change the browser settings at any time to block cookies or each time obtain information on their placement on his/her device. Other available options can be checked in the internet browser settings.
- The Controller wishes to inform you that changing the User’s internet browser settings may limit access to some functions of the portal.

IV. Rights related to data processing
- Data provision by the Users is voluntary yet to a determined extent (depending on actions taken each time by the User in relation to the use of the portal) necessary in order to use the portal.
- The User has the right of:
1) access to his/her personal data;
2) demanding their rectification;
3) demanding their deletion;
4) demanding that their processing be limited;
5) transferring personal data, i.e. receiving personal data from the Controller in a structured, commonly used and machine-readable format. The User may also demand that the Controller send the personal data provided by the User to another controller;
6) to the extent that the basis of personal data processing is the Controller’s legitimate interest – the right of objecting to the processing of his/her personal data.
- Where the User gave his/her consent to data processing, he/she is entitled to revoke this consent at any time, without any effect on the right of processing carried out on the basis of the consent before it has been revoked.
- In order to make use of the above rights, you should contact the Controller using the contact details given above.
- The User also has the right of objecting to a supervisory body – the President of the Personal Data Protection Office.
V. Amending the Privacy Policy
The Policy is revised on an ongoing basis and updated if necessary.

VII. Final provisions
- The Controller uses technical and organisational means to ensure the protection of the personal data processed, which are adequate to the threats and categories of protected data, and in particular, protects data against their disclosure to unauthorised persons, taking over by an unauthorised person, processing in breach of applicable provisions of law, and their alteration, loss, damaging or destruction.
- The Controller secures the data set against unauthorised access.
